The Pre-AEP Personal Action Plan for Agents

It’s time to prepare for the big season. No, we’re not talking about the football – we’re talking about the AEP season. Just as athletes prepare for gametime, Medicare agents must be in top shape for AEP. It’s your busiest time of the year, and it’s over in the blink of an eye.

This is a big opportunity, so don’t fumble it. This article is about YOU – how can you get into tiptop shape so you’re ready to bring your “A” game this AEP season? Don’t allow unexpected obstacles to slow you down. Boost your confidence, reduce your stress, and keep your production on track by focusing on eight key areas now.

1. Health

A BYU study found that employees with an unhealthy diet were 66% more likely to report reduced productivity compared to those with a healthy diet, and employees who only exercised occasionally were 50% more likely to report reduced productivity compared to employees who exercised regularly.

Your health affects your work. Take time now to stock up on healthy foods and vitamins; get regular exercise; make sure your prescriptions are up to date; and consider getting your flu shot. The last thing you need is to miss a week of AEP due to the flu, and you don’t want to spread it to your elderly clients, either. The CDC recommends an annual flu vaccine for anyone older than six months, unless they are allergic. Consult your doctor if you have any health concerns.

2. Confidence

Don’t underestimate the importance of confidence. Athletes focus on their mindset before every big game, and you need to give yourself a pep talk, too. Consider using sales affirmations to prepare. Now is a great time to hone your craft – practice your pitch, seek advice from a mentor, or schedule a ride-along with a senior agent. Never stop learning.

For an added confidence boost, take time to polish your appearance. Schedule a haircut, facial, or manicure; plan your outfits; and get some comfortable shoes. Dress for success.

3. Meeting Tools

Get all your meeting tools in order. This includes business cards and marketing supplies, but it also includes little things like extra pens, paper clips, and writing pads. Make sure your briefcase or backpack is clean and organized, so you can find things easily. Order supplies from your carriers as early as possible or download them in electronic format.

Also, pay attention to your electronic tools. Can you seamlessly operate your quoting and enrollment tools, as well as your remote meeting and call recording software? Do some test runs, write down instructions, and troubleshooting tips. Be ready for anything.

4. Vehicle Maintenance

It’s hard to make it to all your client meetings if your car won’t start. Schedule an appointment to have your car serviced, the oil changed, and tires checked before AEP begins. A few days before AEP, get your car washed and gassed up (or charged) so you’re ready to hit the road.

5. Route Mapping

Make the most out of every day by grouping appointments by geographic location and efficiently mapping your routes. This will help you save time and avoid backtracking. 6. Emergency Supplies

You never know what’s going to happen when you’re out meeting with clients. A meeting could run long, leaving you with no time for lunch. A dog could jump on you, or you could spill your drink on your shirt. Stock your car with emergency supplies, including a first aid kit, some wet wipes, a towel, gloves (in case you have to change a tire), extra water, and an extra change of clothes.

7. Tech and Power

Make sure all your devices are working properly, including any phones, tablets, or laptops you’ll need. To avoid running out of power, pack a charger or power bank in your vehicle. Also download any apps that could make your job easier, for tasks like note-taking, appointment scheduling, or mileage tracking. While you’re at it, consider downloading some meditation apps or an audiobook to help you relax during the stressful weeks ahead.

8. Family Commitments

The support of your family is crucial. Update your household calendar and check for any potential scheduling conflicts. Block out any important personal commitments now so you don’t get double-booked during AEP.

Advanced preparation can make your household run smoothly. Stock up your pantry, plan, prep and freeze some easy meals, and take care of any big household projects. Consider delegating some household tasks to other family members during AEP. For example, if you normally take care of your pets, is there someone else who can step in for a couple of months? Proactive communication is key.
